Process
How we work
Four steps, from a first look at how customers see your business to monthly management or a website handover. At each one: what happens, what you provide and what you receive.
Step 1: Assess
You request a Visibility Review. We look at your profile, reviews and website as a customer would.
What happens
- You send the basics through the Visibility Review page or by email. There’s no payment or login.
- A person looks at your Google Business Profile, your public reviews and replies, and how easily someone on a phone can contact you from your website.
- We reply by email with what we noticed and whether one of our services is a sensible fit.
What you provide
- Your name and your business name
- A website or Google Business Profile link
- Your main concern, in a sentence or two
- Optional: the number of locations, and a phone number if you’d like a call
What you receive
- A reply from a person, by email, with the most relevant next step
- A plain answer if none of our services fits
It isn’t an instant score, a full SEO audit or a long unpaid strategy report.
Step 2: Scope
If there’s a fit, we agree a written scope: service, locations, triggers, limits, price.
What happens
- We confirm the service and how many locations it covers. Monthly fees are per location.
- Review management: we confirm the exact trigger your system supports, such as a completed job or a paid invoice, and agree neutral eligibility rules before anything is sent.
- Websites: we agree the pages, what each one has to do and a fixed price within the published range.
- Anything outside the price, such as messaging charges or hosting, is disclosed now. If you’re upgrading, any incremental setup is confirmed here too.
What you provide
- Approved business facts
- Who approves replies to sensitive complaints
- Which customers you have permission to contact, and how
- For a website: your services, credentials and the material you already have
What you receive
- A written scope: service, locations, triggers, limits and price
- A clear list of anything that sits outside the price
No work begins, and no payment is due, before you agree the scope.
Step 3: Implement
We set up the process, profile work or website build, checking permissions and provider rules.
What happens
- Review management: we connect the request to your trigger, set up the review link and QR code, and check consent, provider rules and opt-out handling before the first message goes out.
- Profile management: you add us as a manager, and we bring your categories, services, hours and details up to date, then check a small agreed set of important listings.
- Websites: we write, design and build the agreed pages, for phones first, with two rounds of revisions.
What you provide
- Manager access to your Google Business Profile, granted from your own Google account
- Access to the tool that records completed work, and to your domain and hosting if a website needs it
- Photos you have the right to use
- Sign-off on the request message, profile changes or website pages
What you receive
- Review management: a working request process, with a review link, a QR code and a short routine your staff can follow
- Profile management: an accurate, complete Google Business Profile
- Websites: a finished site, built to the agreed scope
Step 4: Manage or hand over
Monthly services continue with reporting. Websites are handed over to you.
What happens
- Monthly services: every eligible customer gets the same request, with one reminder where permitted. We draft replies to new reviews, a person checks each one, and replies to sensitive complaints come to you first.
- Profile management: relevant updates, the photos you supply and periodic spot checks for unexpected changes.
- Websites: the site goes live on your domain and is handed over to you.
What you provide
- Feedback and approvals
- Approval of replies to sensitive complaints
- New photos, and any change to your hours, services or details
What you receive
- Each month: an activity report on requests sent, delivery issues, new reviews observed and response coverage. It records activity; it doesn’t claim every new review came from us.
- Local Visibility Management: the profile figures Google makes available, reported as interactions, not as leads or sales.
- Websites: the site and its content, which you own, and a record of where everything lives.
Timing
Timing depends on scope and is agreed in writing.
We don’t publish turnaround times. Your written scope sets out the order of the work and what we need from you before each part can start.
Responsibilities
Who does what
What we handle, and what only you can provide or decide.
| Area | Rainier | You |
|---|---|---|
| Business facts | Keeps them consistent on your profile and website | Supply them, and approve any change |
| Permission to contact customers | Checks consent, provider rules and opt-out handling | Confirm who you may contact, and how |
| Review requests | Sends the same request to every eligible customer | Record completed work as you already do |
| Replies to reviews | Drafts them; a person checks every one | Approve replies to sensitive complaints |
| Google Business Profile | Manages it, as a manager you’ve added | Own it, and keep owner access |
| Photos | Adds the ones you supply | Supply photos you have the right to use |
| Website | Writes, designs and builds the agreed pages | Supply material, give feedback and sign off |
| Domain and hosting | Recommends a sensible setup while scoping | Hold the accounts, normally in your name |
| Third-party charges | Discloses them before you agree | Pay the ones you’ve agreed to |
Neither of us controls where Google shows your business or what customers write. We do the agreed work, report it plainly and don’t claim every new review came from us.
